Criteria include: 

Income Requirements:

  • Verified gross monthly income must be at least 3x the monthly rent
  • All income sources must be current
  • HubKey may reject inconsistent, seasonal, or “under the table” income

Credit History:

  • 625+ credit score preferred with minimum 1 year credit history
  • No undischarged bankruptcies, recent bankruptcies without established credit, or foreclosure history

Rental History:

  • Continuous history with positive landlord referrals preferred
  • No evictions within past 4 years (excluding COVID period evictions)
  • No outstanding debt to previous landlords

Other Requirements:

  • Criminal background check (violent offenses, financial crimes, etc. may disqualify)
  • Occupancy limits: 2 people per bedroom plus 1 (2 maximum for efficiency units)
  • Lease terms typically 12+ months, with move-in within 30 days of availability
  • Pet policies vary by property (support animals require documentation)
  • Non-smoking tenants preferred
  • False information on application is grounds for denial

Applications will only be processed when all required documents are received from all applicants and cosigners.

First, we train all tenants to distinguish between true emergencies and minor maintenance requests. All non-emergency requests are submitted through our maintenance portal. Then, the property manager will call the tenant to figure out if a service vendor is needed to fix the problem. We exclusively use vetted, high-quality local vendors for all repairs and maintenance on our properties.  

Repairs over 500 dollars require approval from property owner. 

Heat repairs are done immediately without prior authorization, because those are a health and safety hazard for tenants and property. 

Our approach to maintenance is designed and time-tested to balance the needs of the tenants and the bottom line of our clients. 

All rent is collected electronically. Rent is due on 1st of the month, and is considered late by the 6th. When tenants are late, we begin the “Eviction Diversion Program,” a mediation program run by the city of Philadelphia that provides help with rent and tries to avoid eviction whenever possible. 

Our tenant screening program is specifically designed to screen out problem tenants that require eviction. When we screen tenants ourselves, we almost never need to pursue eviction. 

In the rare cases where eviction is necessary, we work with trusted Philadelphia attorneys with specific experience in eviction law.

It’s a company policy to return all client messages within 24 business hours. Email communication is preferred but not required. We also have a portal people can use. 

Urgent matters can be called into our central number (215-600-1799) and answered right away. 

We do move-out and move-in evaluations in detail. Tenants must sign a document accepting the condition of the property. This allows us to take the money from the security deposit if there’s damage that wasn’t present at move-in.

Once we collect rent, we go through an internal process and then you get the money between the 10th and the 12th of the month. All clients receive a monthly Profit & Loss statement, and can access it at any time on the Owner Portal. 

We gather extensive property information and photography, and send it to 50 different real estate sites. 

Our one-time fee for help obtaining a Philadelphia rental license is $500.
